Offprint Format

When requested (on the transmittal form or after publication), the production editor (= desk editor) of the book at Brill will request digital offprints of the chapters of an edited volume (preliminary items, except p. iii and the TOC page(s) [see below], bibliography and index need not be delivered) or the digital offprint of a complete monograph.

Except for Open Access chapters or Open Access monographs, which do not need a watermark or security settings as they are freely available, the typesetters will add the watermark as in the example below and will make sure the copyright year in the watermark is the same as on p. iv of the book.  The font of the watermark also needs to be the same as the font used in the book. Font size: 15 pt; shading: 80% Black.

The typesetters will also add the title page (p. iii) and the table of contents of the book as the first pages of each edited volume offprint file. Any part-title pages should be omitted from the offprint files.

Illustrations should be down-sampled (low resolution) but should remain in colour if originally supplied in colour.

The typesetters make sure the security settings of each digital offprint file are as follows:

Commenting       Allowed

All other options should be set ‘Not allowed’ (these are password-secured)

After approval of the print and e-book (webready and XML) files, the production editor requests the watermarked and secured offprint file(s). The digital offprints should be sent out upon receipt together with the latest version of the copyright letter.

Outsourcing and Offprints

With respect to outsourcing projects, the contact person at Brill will request the outsourcing partner to send the digital offprint(s) and the copyright letter (attached, see paperclip at top of this page) to the corresponding editor or author if not already stated on the transmittal form.

The e-mail text accompanying the offprint file(s) and copyright letter could read:

Dear Dr /Professor ….,

Please find attached, as requested, the digital offprints of the chapters in the book edited by you [the digital offprint of your monograph], together with a copyright letter. We kindly ask you to distribute the offprints and the copyright letter to the individual contributors. [Omit this last sentence if it concerns a monograph]
